Room Selection Instructions

For 2025-2026 Housing 

The instructions below will lead current  students who have received a lottery number through the General Room Selection process.

We recommend that you review all material prior to the General Room Selection so you are familiar with the process.  If you have questions before the process begins or during General Room Selection, please contact the REACH office at 707-664-2541.

Current students who applied to live on campus early February will be sent an email late February in the afternoon and will receive a Housing Selection Lottery Number.  Lottery numbers are randomly generated and correspond to a designated time slot for room selection.

  • Priority is given to students who currently live on campus, have lived on campus the least amount of time and met the deadline to apply (make sure to read all email correspondence from REACH so you do not miss the deadline).
  • Students who completed Step #2 received a confirmation that the license agreement was accepted.  If you did not receive this confirmation, please log back onto the Housing Portal to complete Step #2.

  1. Review the housing floor plans on the Housing Options page. It will be the student's responsibility to know the different floor plans as well as which rooms are singles, doubles, and triples for the buildings.
    • Beaujolais Village all buildings except one (1) to be determined.
    • Sauvignon Village Colombard is available only
    • Tuscany Village all buildings are available (Unity House will be in Mosel and Alicante)
    • When applying, students were able to submit a preference for V.I.B.E.S or Unity House. Because these living areas require approval, you will be contacted by the coordinator of the living community regarding placement.
    • Reminder, the preference survey you completed when applying did not determine your assignment. Assignments are lottery-based and dependent on your assigned time slot.
  2. Decide if you want to live with friends. 
    • Up to four (4) students may choose to room together in Beaujolais Village
    • Up to six (6) students may choose to room together in Tuscany Village
    • Up to seven (7) students may choose to room together in Sauvignon Village
  3. Receive your housing selection lottery number (emailed to residents who applied).
    • Lottery Number/Time Slots will be posted to our website.
    •  
      • Day 1 - Full Day: The first day of room selection allows same-sex groups, who can fill full apartments, to reserve first. This allows for a better consolidation of apartments.
      • Day 2 & 3: General Selection: The second and third day of room selection allows for individuals and groups who were not eligible to participate on day one to reserve a room/apartment.
  4. Familiarize yourself with the General Room Selection process. View screenshots of the process or come to the REACH office to request an explanation of the process BEFORE the process begins.
  5. Plan to live with friends? Create a Roommate CODE. 
    • During the room selection, to pull in your preferred roommate/housemate, each person in your group will need to create a personalized Roommate CODE that is five or more characters. The person selecting the room assignment for the group must have each friend’s “Roommate CODE” and nine-digit SSU#. Each roommate must be a guaranteed student who received a lottery number.  Create your roommate CODE on the Housing Portal

STEP 3: Overview of the General Room Selection (3 days in March)

  1. Log in to the Housing Portal at the beginning of your Room Selection time slot. 
    • Day 1 - GROUPS THAT CAN FILL AN APARTMENT ONLY.  The group member who has the earliest time slot (lottery number) should access the Housing Portal to select an apartment for the group. If possible, make a plan for your group to gather at one computer during your Room Selection time slot so your group can choose room(s) together, otherwise, be sure the person logged on is clear as to what room type each person wants.  We encourage groups to develop multiple housing plans (locations, room type and group size) in the event that your preferred location or room type is no longer available. 
    • Day 2 & 3 - Individuals/Groups that did not participate on March 5.  Individuals will access the Housing Portal at the start of their time slot.  We encourage students to develop multiple housing plans, such as location and room type, in the event that your preferred accommodation is not available.  For groups, we recommend that the person in the group who has the earliest time slot (lowest lottery number) access the Housing Portal to select an apartment for the group. If possible, make a plan for your group to gather at one computer during your Room Selection time slot so your group can choose your room(s) together. We encourage groups to develop multiple housing plans (locations, room type, and group size) in the event that your preferred location or room type is no longer available.
    • REACH will be your proxy.  If you are in class or working during your time slot, please contact the REACH office to discuss how we can assist you.
  2. Click Apply for Housing > Current SSU Students 2025/2026 Academic Year Housing, navigate to the Room Selection step.
    • Student MUST complete STEP #2 of the application (Profile and License Agreement) in order to proceed to the Room Selection step.
    • A Room Selection Guide has been provided to you in your Housing Portal so you can test how the process works. (You will NOT be booking a room when using the sample)
  3. Read each page carefully as they will provide you with instructions on what to do.  You will be responsible for understanding the process.
  4. If you are selecting a room only for yourself, click “show me rooms” at the bottom of the page.  If you are part of a group, add your roommates by entering in your friends name, SSU#, and Roommate CODE, then “show me rooms.” The software is designed to show you what is available in each village based on the legal sex of the person logged in, as well as the available spaces for the amount of people in the group.
  5. Select an apartment by clicking “LOCK.” Rooms will be held for six minutes while you assign yourself and/or friends to a bed space in the apartment.
  6. Review the assignment(s) on the Confirmation page and click 'FINISH.' Each person who was assigned a bed space will receive a confirmation email.

Reapply FAQ

No. Residents who applied during the application period will be assigned a random Housing Selection Lottery Number. A student’s chance is the same if they reapply on day one of the Current Resident Priority Application Period or decide to wait till the last day.

Residents pay $300 for the Housing Down Payment regardless of their financial aid status.

The down payment is 50% refundable if requested in writing by June 1; no refunds thereafter. Students who have a room assignment and cancel after August 1 will be charged an additional $250. Cancellations should be emailed to housing@sonoma.edu.

No. It is a prepayment of your housing rent fees for the fall semester.  The $300 will be applied to your fall rent fees.

Late February, residents who applied by the deadline will be emailed with their housing selection lottery number and instructions on the room selection process. Please be sure to check your SSU email.

We suggest you still pick a room and request a room assignment change later. If you don’t select a room by the deadline, we will assume you are no longer interested in housing and will cancel you application.

Only those residents with a lottery number will be eligible to participate in the first round of Room Selection which takes place 3 days in early March.

Our campus housing apartments are not coed. If you are trying to fill a full apartment you must fill it with individuals of the same legal sex.

Space is limited in Tuscany Village. Availability in Tuscany will depend on what individuals with earlier appointments decide to select. Residents should have a variety of options and may need to be flexible with their selection.

You will need to log in to the Housing Portal to accept the terms and conditions of the license agreement. To help relieve stress during the room selection process, students are required to accept the housing license agreement PRIOR to the room selection process.
