Early Arrival Move-in Information

We recognize that you may have circumstances that require you to arrive on campus sooner than your assigned Move-In Day.  We will be accepting early arrival requests June 17 through July 1.

Early Arrivals

Residential Education and Campus Housing (REACH) relies on summer conference group revenue to keep student rent as low as possible.  This means we try to accommodate as many groups as possible over the summer and into August, causing a tight turnaround for summer conferences to academic year student residency. Therefore, we can ONLY accommodate students who need to arrive early if they are required to check-in early due to their employment/connection with a Sonoma State University department or program.

Residents must meet one or more of these requirements in order to be eligible to apply for Early Arrival:

  • Attending the International Student Orientation Program
  • Participating in athletic training
  • Involvement with an approved university program
  • Students with a disability-related need to occupy their housing assignment earlier than their scheduled move-in date.

Contact your advisor/supervisor/coach about arriving early.  There will be a per day charge to arrive early, so please connect with your advisor/supervisor/coach about costs.  Any out-of-pocket expense, not covered by the student’s department, are the student’s responsibility and will not be covered by the student’s Financial Aid

Timeline

  • June 15 - Room assignments are emailed to students
  • June 17 - July 1 - Eligible residents (see above) can request to arrive earlier then their scheduled date.
  • June 15 - July 1 - Departments will verify students eligibility to arrive early.
  • July 1 - 15 - Residents requesting an early arrival will be notified if their request has been approved.  Approved requests will be provided with check-in date and any applicable move-in information
  • August 12, 3:00 pm - The earliest an approved early arriving student can move in

Approval for an early arrival request is granted in writing by REACH.  Verbal commitments are not valid. If an early arrival is approved, the resident will receive an email confirmation to their SSU email address.

Information you will need to know:

  • There will be a per day charge to arrive early, so please connect with your advisor/supervisor/coach about costs.  Out of pocket expenses to students will not be covered by the student’s Financial Aid.
  • Meal plans are not activated until Wednesday, August 16, 2023.  Residents approved to arrive early will not be able to use a meal plan prior to this date.  Plan accordingly to have extra funds available for this period.
  • All requests are subject to assigned space availability.  If the academic year space is not ready by the requested move-in date due to construction, maintenance, and/or housekeeping concerns, we may not be able to approve the request.  The REACH department reserves the right to deny an early arrival due to administrative necessity. 
  • Approval for an early arrival request is granted in writing by REACH.  Verbal commitments are not valid. If an early arrival is approved, the resident will receive an email confirmation to their SSU email address.
  • Check-In will be between 3:00 p.m. - 5:00 p.m. on your arrival date.  We will not be able to accommodate requests outside of this timeframe, so please plan accordingly.

  • Residential Suite Triple: $26.50 per night
  • Residential Suite Double: $36.32 per night
  • Residential Suite Single: $49.53 per night
  • Cabernet Double: $40.86 per night
  • Cabernet Triple: $27.75 per night
  • Sauvignon Triple: $30.37 per night
  • Sauvignon Double: $44.74 per night
  • Sauvignon Single: $59.30 per night
  • Beaujolais/Tuscany Single: $60.00 per night
  • Tuscany Double: $47.40 per night

Your Next Steps:

  • Submit early arrival request June 17 - July 1 through your Housing Portal
  • Provide the name and contact of your on-campus advisor, supervisor or coach
  • Receive an email acknowledgement of your request via your SSU email
  • REACH will contact your advisor, supervisor or coach to verify your need
  • Receive a request approved/denied confirmation via email by July 15. 

*If you are not an approved participant in one of the above groups but have a compelling reason to arrive early;

  • In the request, provide a detailed description of your legitimate need to arrive early and include documentation demonstrating the need and how it is unforeseen.  Please plan accordingly as a submitted request does not guarantee approval.
